Clinic intake portal & utilisation reporting

A worked specification of a healthcare operations build — what gets designed, what gets delivered and what the practice sees on the other side.

This is a reference build, not a client engagement. It's published so you can see exactly what a system at this tier contains before you commit to one. Our delivered client work is on the case studies page.

The situation this addresses

A multi-provider clinic takes patient details on paper at the front desk, keys some of them into a practice system later, and tracks appointments in a calendar that nobody reports on. Nobody can say what the no-show rate is by provider, which slots go unfilled, or whether last month was better than the one before — without someone spending a day in a spreadsheet.

What the build contains

1 · Digital intake portal

  • Mobile-friendly patient intake form, usable on a tablet at the desk or sent ahead by link
  • Field-level validation — dates, phone numbers, insurance identifiers and required fields checked at entry
  • Duplicate patient detection on submission
  • Draft saving so a half-finished form isn't lost
  • Every submission timestamped and attributed

2 · Utilisation dashboard

  • Slot fill rate by provider, by day of week and by hour
  • No-show and cancellation rate, trended, with the pattern behind it
  • New versus returning patient split
  • Drill-down from any figure to the appointments behind it
  • Date-range and provider filters throughout

3 · Automated monthly practice report

  • Generated and emailed on the first working day of each month
  • Branded PDF with the month's performance against the previous three
  • Variances highlighted automatically, with plain-English commentary on what moved
  • Different versions for practice owners and for provider-level review

4 · Access control

  • Front-desk staff see intake and scheduling only
  • Providers see their own utilisation
  • Practice owner sees everything, including the audit log

What changes for the practice

Intake stops being a stack of paper waiting to be typed up. The monthly reporting cycle goes from several days of manual assembly to a report that arrives on its own. And for the first time the practice can see which slots and which providers are actually under-utilised — the specific number that most directly moves revenue.

Where this sits

A build of this shape typically falls between ₹15,000 and ₹30,000 depending on how many providers, locations and source systems are involved — but it is quoted on its own, like every project. Typical delivery is two to four weeks.
